Apollo Invoicing for Stripe
Apollo Invoicing brings Apollo invoice workflows into the Stripe Dashboard. Use it to create an Apollo invoice from a Stripe payment, automate invoice creation for supported events, and review the Apollo invoice linked to a Stripe invoice.
Before you start
You need:
- a Stripe account on which you are allowed to install apps
- an Apollo account with access to an entity whose environment matches the Stripe mode you will connect
- customer, tax, and business details configured appropriately in Stripe and Apollo
Apollo can apply country-specific fiscalization or e-invoicing only when that workflow is supported and correctly configured for the selected entity. Connecting the app does not by itself make every invoice compliant in every country.
Install and connect
- Start from the Apollo Invoicing listing in the Stripe App Marketplace and choose Install app. Stripe opens the Apollo Stripe connection page.
- Sign in to Apollo if prompted and select a live Apollo entity. The public Marketplace installation creates a live-mode connection.
- Choose Connect to Stripe.
- Complete Stripe’s installation and permission prompts.
- Wait for Apollo to return to the connection page and display Connected!.
- Return to the Stripe Dashboard. Apollo Invoicing now shows the connected entity.
The connection page is a user-facing sign-in and entity-selection flow. API authorization and OAuth callback endpoints are protocol endpoints and should not be opened directly.
Live and test mode
Live and test connections are installed and managed separately. The public Marketplace install flow connects Stripe live mode to a live Apollo entity.
To test with synthetic data, switch the Stripe Dashboard to test mode and use Stripe’s opposite-mode install action to install Apollo Invoicing separately in test mode. Open the app, choose Connect Apollo Account, complete the test-mode authorization, and select an Apollo sandbox entity. Do not connect a live Apollo entity to Stripe test mode or a sandbox Apollo entity to Stripe live mode.
Stripe permissions
The app requests read-only access to the Stripe objects needed for its invoice workflows:
| Permission | Why Apollo needs it |
|---|---|
| Invoices | Read Stripe invoice details and show the linked Apollo invoice status. |
| Events | Process supported events when automatic invoice creation is enabled. |
| Payment Intents | Create Apollo invoices from Stripe payment data. |
| Charges | Read the Charge context Stripe can provide on Payment detail pages and create or find the linked Apollo invoice. |
| Customers | Use available customer and billing details on Apollo invoices. |
| Checkout Sessions | Preserve available line descriptions, quantities, prices, discounts, and taxes. |
The app does not request permission to write Stripe objects.
Create an invoice from a payment
- Open a payment in the Stripe Dashboard.
- Open the Apollo Invoicing panel.
- Add an optional invoice note.
- Choose Create Invoice from Payment.
- When creation succeeds, choose Open in Apollo to open the document in Apollo.
Apollo uses the payment amount, currency, and available customer details. When the payment came from a Checkout Session, Apollo also uses available line-item details. If Stripe provides no line-item tax information, the app can apply the default tax rate configured in its settings.
Stripe can identify a Payment detail page with either a Charge or Payment Intent. For a Charge associated with a Payment Intent, Apollo uses the Payment Intent and related Checkout Session when available. For a legacy standalone Charge, Apollo creates one invoice item from the Charge amount and description plus available customer and billing details.
Automate invoice creation
Open the app’s Settings page and enable Auto-Invoicing. You can select either or both supported triggers:
- Payment succeeded for
payment_intent.succeeded - Invoice paid for
invoice.paid
Both triggers can be enabled. Apollo checks linked Stripe objects to avoid creating two Apollo invoices when a payment is associated with a paid Stripe invoice.
Charge access is used for the manual Payment detail workflow and linked-invoice lookup. It does not add a charge.succeeded automatic trigger.
Automatic creation uses the same Stripe customer, amount, currency, line-item, discount, and tax data available to the manual flow. Review your Stripe and Apollo tax settings before enabling automation.
Review a linked invoice
Open a Stripe invoice and then the Apollo Invoicing panel. If Apollo created or linked an invoice for that Stripe invoice, the panel shows its number, total, document status, and fiscalization status, with a link to open it in Apollo.
Not applicable means fiscalization does not apply to that document or entity configuration. It is not a guarantee of tax treatment. If the panel says no Apollo invoice is linked, create an invoice from the related payment or enable the appropriate automatic trigger.
The customer detail panel confirms the Apollo connection and links to the Apollo dashboard; invoice creation is performed from payment details or through an automatic event.
Default tax rate
In Settings, enter a default tax rate from 0 to 100, or leave it empty to skip a default rate. The setting is used only when the Stripe data does not contain tax information, such as some one-off payments. Changes save automatically shortly after you stop typing. If the value is outside that range, the field shows an error and the previous rate stays in effect.
Disconnect
In the app’s Settings, choose Disconnect Apollo, then choose Confirm disconnect. This removes the connection and Apollo API credential for the current Stripe mode. You can reconnect later.
Live and test connections are independent. If you connected both modes, switch modes in the Stripe Dashboard and disconnect each one separately to stop future app access in both. Apollo invoices and business records already created remain subject to your Apollo account settings and any applicable accounting or tax retention requirements.
Troubleshooting
The app says it is not connected
If you are in live mode, open the Apollo Stripe connection page, sign in, select a live Apollo entity, and complete the Stripe approval flow. Confirm that the Stripe account shown during approval is the account where the app is installed.
If you are in test mode, do not use the public connection page. Install the app separately in Stripe test mode, open its onboarding view, choose Connect Apollo Account, complete the test-mode authorization, and select an Apollo sandbox entity.
Customer details are missing
Apollo can use only the data available on the Stripe Payment Intent, Customer, Charge billing details, Invoice, or related Checkout Session. Add the required customer and tax details in Stripe, then create a new Apollo invoice.
An automatic invoice was not created
Confirm that Enable auto-invoice creation is on and that the matching event is selected. Then check that the Stripe payment or invoice reached the relevant succeeded or paid state. If the event was already linked to an Apollo invoice, duplicate prevention may have intentionally skipped it.
Fiscalization is not shown
Fiscalization depends on the Apollo entity’s country and configuration. Confirm that the relevant country workflow, credentials, premises, or other required settings are configured in Apollo.
